Restaurant POS costs in Sri Lanka: software, hardware and setup

Compare CXPOS subscriptions and understand the hardware, installation, training and integration questions that shape your restaurant POS budget.

Start with the full operating cost

A monthly software price is one part of a restaurant POS budget. A counter-service cafe with one printer has a different setup from a restaurant with several kitchens, steward devices and multiple outlets.

Separate your quote into recurring software, equipment, and implementation. Ask which costs apply per outlet, terminal or integration, and which are one-off. The written proposal should show the scope and any applicable taxes before you commit.

  • Recurring: software subscription, selected support options and any separately quoted services.
  • Equipment: compatible cashier device, bill and kitchen printers, network equipment, and any customer or kitchen displays.
  • Implementation: menu and recipe preparation, configuration, installation, staff training and any custom integration work.

These are the listed monthly software rates. Use the restaurant product page for the full feature comparison and request a written proposal for your outlet and device configuration. Hardware, setup work and any applicable taxes need to be confirmed separately.

Check your existing hardware before replacing it

List your current devices with model, operating system, connection type and condition. A device that powers on is not automatically suitable for every POS role. Printer drivers, local network coverage and the number of simultaneous users all matter.

Ask the implementation team to confirm compatibility for the exact workflow. A tablet-and-printer counter, a kitchen display, a self-ordering kiosk and a customer payment terminal have different requirements.

  • Confirm bill and kitchen printer models, paper size and network connection.
  • Count cashier, steward, kitchen and customer-facing devices separately.
  • Test the local network and decide whether backup power or connectivity is needed.
  • Ask which equipment is supplied, which you retain, and who maintains it.

Make setup and support explicit

A menu with sizes, extras, recipes and several preparation stations takes more configuration than a short counter menu. Existing data may also need cleaning before import. Ask who prepares and checks that information.

The current CXPOS proposal describes standard support as remote-first, with on-site installation, training, support, travel and accommodation charged separately. Confirm the training format, support hours, response process, deposit and payment terms in your own proposal.

  • What data preparation, import and opening-stock work is included?
  • Is training remote or on-site, and how many sessions and staff are covered?
  • Which delivery, mall, payment or accounting connections are in scope?
  • How are future outlets, devices and custom changes priced?

Compare quotes using the same service scenario

Give each supplier the same order: a table of four, one item with an extra, an order sent to two preparation stations, and a split payment. Then ask for the bill, stock impact and end-of-day report.

For a yearly budget, calculate twelve monthly subscriptions plus the equipment, implementation and add-ons in the quote. This is a planning calculation, not a separate annual offer. Choose the setup that handles your actual operation and has a clear support plan.

Questions before you choose

Does the monthly price include all hardware and installation?

Confirm these separately. The listed rates are software subscriptions; your written proposal should specify hardware, installation, training, integrations, support options and applicable taxes.

Can I start with one outlet and expand later?

Discuss the first outlet and the intended rollout together. Multi-outlet requirements belong in the Custom Enterprise scope, including the outlet count, terminals, reporting and integration needs.

Is there a fixed setup price for every restaurant?

The setup scope depends on menu data, equipment, preparation stations, training and integrations. Request a proposal after reviewing those details rather than assuming one installation price fits every venue.

Bring your own workflow to the demo.

Tell us about your outlets, menu, service stations and existing equipment. We can review the setup and put the proposed scope in writing.
